Track continuing education dates in Google Sheets
Keep courses, hours you enter, and the dates you care about in a spreadsheet. Email someone before a date on that list.
A CE tracker you keep yourself
Some people looking up a CEU tracker need the website their board or a reporting service already gave them. This page is the other job: a list in Google Sheets of courses and dates you type in, for yourself or for several people.
The sheet can show what was completed, how many hours you wrote down, and which deadline is next. It does not accept a completion from a course provider, and it does not decide that an activity counts.
What a continuing education spreadsheet can contain
Every value on the row is something a person entered. The reminder uses the date and the email you map.
| Field | What it stores | Why keep it | Reminder |
|---|---|---|---|
| Person | You, or someone on a team list | The row has to say whose activity this is | Map this as the name |
| Profession or license | A label you use, such as a license type | Helps when one person has more than one requirement | Sheet only |
| Activity | The course, webinar, or other item | So the email and the sheet say which thing the date belongs to | Sheet only, unless you use it as the name |
| Provider | Who offered it, if you want that written down | Useful when you look the record up later | Sheet only |
| Completed on | The date you record as finished | History on the row | Sheet only, unless you deliberately map it |
| Hours or credits | The number you enter | For your own tally. The add-on does not add or judge it | Sheet only |
| Period | The renewal or reporting window you are tracking, in your own words | So rows from different cycles do not blur together | Sheet only |
| Deadline | The date you want watched | A course due date or another date you typed | Map this as the date |
| Reminder email | Who should hear about it | You, the professional, or a coordinator | Map this as the recipient |
| Link or notes | A transcript link or a note you already keep | Points at a record stored elsewhere | Optional mapped link |
One professional, or a list for several people
The columns stay the same. The recipient column is what changes.
Your own dates
You are the person on the row, and the reminder email is yours. Hours and providers are notes for you. Nobody else has to be on the sheet.
A coordinator's list
Each person and activity is a row. The recipient might be the professional, or a shared inbox that already nags people about deadlines. The coordinator still types the dates. The sheet does not verify them.
A license date next to a course date
Keep the course deadline on this list. If you also want an email about the license renewal itself, add a separate row and label it as the license date, or track that date on the license expiration page. Do not bury both meanings in one cell.
A course deadline and a license renewal are different rows
A course can be due in September while the license that requires the hours renews in December. Those are two dates. If both should send an email, they need two rows, each with its own date and recipient.
The course row can hold the provider, the hours you entered, and the course deadline. The license row only needs enough to say it is the license date. The license page is the fuller place for license expirations. This page should not turn into a board-renewal guide.
How to set up the CE sheet
1. Choose personal rows or team rows
If it is only you, one block of activities is enough. If you are tracking other people, put their name on every row so a filter works.
2. Add one row per activity
A course and a license date do not share a row when both dates matter. Label the activity so you can see which is which.
3. Enter hours and completion as your own notes
Type the number and the completed-on date if you want them visible. A spreadsheet formula can sum hours for you. The add-on will not.
4. Put the deadline you want watched in one column
Use that column for every row that should email. Leave it blank on rows that are history only.
5. Set the recipient
Your address, the professional's address, or a coordinator inbox. The email goes there. It does not go to a board.
6. Map the deadline and save the timing
30 days before, 7 days before, 1 day before, and/or the date itself. When the email arrives, you still file or report through whatever site your board actually requires.
Example: two people, course dates and one license date
Fictional. Hours are numbers someone typed. Riley's license date is a separate row from Riley's course. Nothing here has been submitted anywhere.
| Person | Activity | Provider | Hours | Completed | Deadline | Reminder email |
|---|---|---|---|---|---|---|
| Riley Chen | Ethics course | North Seminar | 3 | 2 Feb | 30 Sep | riley@example.com |
| Riley Chen | Clinical update | City Hospital | 6 | 15 Aug | riley@example.com | |
| Riley Chen | License renewal | 15 Dec | riley@example.com | |||
| Avery Patel | Ethics course | North Seminar | 3 | 18 Jan | 30 Sep | coordinator@example.com |
| Avery Patel | Records course | State Association | 2 | 1 Oct | coordinator@example.com |
The license row is only here to show a different date. Use the license expiration tracker when that date is the thing you are organizing. Hours are not totaled or checked by the add-on.
When this sheet fits, and when a reporting system fits
Keep the sheet for dates you write down. Use the board or reporting site when that site is how hours get accepted.
Use the spreadsheet when
- You want one list of activities and dates
- You will type hours and completions yourself
- An email before a date is the missing piece
- A coordinator is watching several people the same way
Use a reporting system when
- Hours have to be filed somewhere
- A board or service has to accept the course
- You need that system to confirm completion
- The official record does not live in your sheet
Date & Email Reminders does not file CE credits, verify that a course counts, or connect to a licensing board or to CE Broker. If the board wants its own website, keep using it. The sheet is the reminder list beside that process, not a replacement for it.
Questions
The person, the course or activity, the date you want watched, and the email that should be reminded. Profession, provider, hours, a completion date, and a link can stay on the row for you.
Yes. A personal list uses your email as the recipient. A team list adds a row per person and activity, with a recipient who might be that person or a coordinator. Either way, you type the dates. The sheet does not check them against a board.
A course deadline is about an activity you are tracking. A license renewal date is about the license itself. Put them on different rows, and label the row so a filter can separate them. License dates are explained on the license expiration page. License expiration tracker
Yes, as numbers you enter. The add-on does not add them up, decide whether a course counts, or submit them anywhere.
Yes, if that date is in the date column you map. Choose 30 days before, 7 days before, 1 day before, and/or the date itself.
No. Date & Email Reminders does not file credits, verify completion, or connect to a licensing board or to CE Broker. If your board requires its own site, keep using that site.
Yes. Certificates that are not continuing-education dates belong on the certificate page. Certificate expiration tracking
