Subscription renewals

Track subscription renewal dates in Google Sheets

List each service, who owns it, and the date it renews. Email that owner before the date. Cost totals stay in the sheet, where you can calculate them yourself.

What a subscription tracker is actually for

A subscription tracker is a list of services a person or a team pays for again and again: software, a hosted tool, a phone plan, a trade publication. The search is usually for the sheet itself: what to write down, and how to notice the date before money goes out.

Google Sheets can hold the name, the cost, how often it bills, and the next date. Formulas can total the cost if you want that. Date & Email Reminders does not do the math. It sends an email from a date column and a recipient column.

What a subscription tracker spreadsheet should contain

Add a column when someone on the team will use it. Skip it when they will not.

Membership dues collection is a different job. This sheet is for services you already pay for and want to see before they renew.

Monthly renewals, annual renewals, and a review date

A monthly tool and an annual suite can live on the same sheet. Put Monthly or Annual in the frequency column so the cost is readable. Then type the next renewal date yourself. The add-on will not turn "monthly" into a series of dates, and it will not roll the date forward after a charge.

The date a card is charged is not always the date a team wants to decide. If you need an email 30 days before an annual renewal and also an email on a separate internal review date, those are two rows: same service, two dates, two recipients if the people differ. You choose the dates. Nothing on this page tells you when a vendor allows cancellation.

Example: a small team's subscription list

Fictional services and costs. The design tool has a renewal row and a separate review row because those dates are different. Cost is here so a spreadsheet formula could sum it. The reminder ignores that column.

These figures are examples, not prices for real products. A household spending audit that only wants totals does not need the add-on. Add it when you want the email.

Who the row belongs to

An owner column matters because the person who should decide is not always the person who pays the invoice.

A tool one person owns

Put their name in owner and their email in the recipient column. When the date comes up, they can renew, cancel, or ignore it. The sheet records the choice only if someone edits the row.

A service the company pays for

Owner might be a team, and the recipient might be a shared inbox. Category can say which department uses it, so finance is not the only group who can see the list.

A software agreement that is really a contract

If the row needs a counterparty, a contract owner, and an end date in the same shape as your other agreements, that record fits the contract tracker better than a simple subscription list.

How to build the tracker

1. List the services you already pay for

One row per service to start. Add a second row later only when a second date needs its own email.

2. Write the next date you care about

That is usually the renewal date on the invoice or the account page. If you also want a reminder on an earlier review date, add that date on its own row and label the date type.

3. Record frequency and cost for yourself

Use them in your own formulas if you want a monthly or yearly total. Leave them out if you only want dates. The add-on will not fill them in.

4. Name an owner and a recipient

The owner is who decides. The recipient is who gets the email. Use a department name in owner when a team owns the subscription, and put a real email in the recipient column.

5. Map the date column you want followed

If the sheet has both a renewal date and a review date in different rows, map the column that holds the date for that row. Choose 30, 7, or 1 day before, and/or the date itself.

6. Edit the row when the plan changes

A new price, a new owner, or a cancelled service is a change to the sheet. The email does not cancel the subscription or update the cost.

A spreadsheet or subscription-management software

The sheet is enough when the job is a list and an email. A spend product is a different job.

Stay in the sheet when

  • You can name the services yourself
  • You know the next date, or you can look it up
  • An email to the owner is the missing piece
  • Any cost total can be a normal formula

Look at a dedicated product when

  • You want charges discovered from a card or bank feed
  • You want unused seats flagged for you
  • You want the product to cancel or block a charge
  • You need a finance dashboard rather than a date list

Date & Email Reminders does not read a credit card, total what you spend, or cancel a plan. A mixed list of licenses, contracts, insurance, and subscriptions belongs on the renewal tracking spreadsheet, not as a second copy of this page.

Questions

The service, who owns it, how often it bills, the renewal date, and the email that should hear about that date. Cost, a category, a notice or review date, and a link to the account are useful extra columns for the people reading the sheet.

Yes. Put the billing frequency in its own column and type the next renewal date you care about. The add-on does not calculate the next charge from the frequency. It emails against the date you map.

Not always. If the team wants a reminder on a review or notice date as well as the renewal date, use two rows. You enter whichever dates matter. This page does not supply cancellation rules.

Not by itself. With the renewal date and a recipient email in the sheet, Date & Email Reminders can send that email 30 days before, 7 days before, 1 day before, and/or on the date.

No. Cost columns are for your own formulas. The add-on does not total spend, convert currency, or build a dashboard.

No. The email tells the recipient the date is coming. It does not cancel, change, or pay the subscription, and it does not read a card.
